All Bookings undertaken by FOX AUDIO HIRE LTD are taken on the understanding that the customer, (the person who is paying for the service) is aware of and agrees to in full the following terms and conditions, which are supplied in writing to all customers along with the written booking confirmation
Terms and Conditions of the Booking
“We” “Our” and “Us” in this document refers to “Fox Audio Hire Ltd “ whose details are provided at the bottom of this documentation.
We are V.A.T registered, and our invoices will include V.A.T at the relevant rate at the time of issue.
Bookings for our services requires that you the customer are willing and able to pay in full our fees and the V.A.T portion as stated.
An invoice will be issued, 7 days prior to the event.
This invoice will fall due for payment within 21 days of the event date.
If the amount is to be contested by you (the customer), we require written notice within 48 hours of the completion of the event.
We will exercise our statutory right to claim interest and compensation under the late payment legislation if we are not paid according to the above terms.
Duplicate invoices will be charged for at a cost of £25.00 per invoice.
Once booked we allow you 7 days to notify us of any amendments or cancellation without penalty or cost to you of any kind. After 7 days our standard cancellation fees will be applied to all bookings.
Cancellation by you the customer, up to and including 7 days prior to the event start time a 25% booking fee will become payable, between 7 days and 24 hours 50% of the total fee is payable, 24 hours or less or if any equipment or vehicles are on your site/event the full fee becomes payable.
Cancellation by us the provider. More than 7 days notice and we will refund any monies paid to us in full and nothing other, less than 7 days we will pay you 25 % of the total fee and nothing other, if we fail to attend your event we will repay you your total event fee and nothing other.
Mechanical breakdown of vehicles, public road closures, extreme weather conditions, power failures, hospitalisation or physical injury to our crews are all circumstances beyond our reasonable control & as such we will not be held liable for any losses caused by those incidents or occurrences.
We may supply one or more of our experienced team to cover any event.
Services we arrange outside of our own business portfolio, will be recharged to the end user, this re-charge cost may be subject to an administration charge or commision.
We are covered by our own liability insurance, music licences, and all our equipment is tested to the highest standards of electrical safety, connection of or to, any third party equipment by ours is not permitted without prior notice and only on the provision of the relevant testing and insurance documentation.
We will provide on request copies of our electrical testing certificates, liability insurance documents, risk assessments, methods of work and other relevant paperwork.
Whilst providing a service for you, the customer, our staff and operatives should be able to provide this without any threats, physical or verbal abuse, provocation, hindrance or interference. We will remove all equipment and or services from any event or location where we or they feel this is compromised, this will be done without any reduction in fees payable.
If we are engaged to act on your behalf and through this engagment incur additional costs above and beyond any quotations, these charges will be passed on to you at the point and time of invoice.
The services we provide do not extend beyond the details on the original booking confirmation document.
Where we are asked to book stalls and or arrange attractions that pay income to your event, an amount of that revenue may be collected by us at source to cover our administration costs, associated with processing those activities.
Any third party payments collected & held by us will be used to settle our charges and costs, before the balance is discharged, with an accompanying statement to the event organisers
We will not be liable for changes to site layouts, room sizes, numbers present, event timings, event locations and technical needs, under any circumstances.
You the customer are responsible for ensuring the following items are in place and available.
An unloading & parking space without cost, adjacent to the performing area or room.
Ground level or elevator access to any upper floors.
An adequate mains supply of at least 2 X 13amp sockets, or 2 x 16 amp sockets within 10 metres of the required operating point (except on events where it is stated that we are supplying the power supply)
That the venue or location is fully compliant with all musical licences, electrical testing and other legal requirements.
We are not and will not be responsible for.
The evacuation of persons from any building, show site, or the dispersal of a crowd in the event of an emergency situation, cancellation or abandonment.
Financial income or losses at any event that we are asked to participate in.
The ejection of any guests or visitors invited or otherwise at any function or event.
The loss or damage to any persons property at any function or event at which we are providing a service.
You the customer are responsible for
The behaviour of all the persons present at an event or function for which you have asked us to provide our services.
Presenting a detailed plan of your event including emergency procedures, coded or open announcements and evacuation plans to our operatives, on their arrival.
Any damage to, theft of, or losses incurred by our presenters, including equipment or belongings that are caused by your guests invited or otherwise.
The prompt payment of the costs for your booking and any subsequent incurred costs.
